A Way to Handle Different Kinds of Customers

When you encounter customers who ultimately want to have everything despite the fact that it is actually impossible to be given to them, project management templates may be a way to handle them.  As a project manager, one must take the extreme caution when it comes to facing this kind of ordeal because if he won’t, chances are he will consume cost that is way above the budget.  To stop this from happening, the application of a project management template may be considered.

Customers may sometimes be very demanding.   It is inevitable when you are running a business or a project.  The best thing you can do in this situation is to lay down the scope of the project for them using a project template and allow this to manage them.  Here is what you need to do:

1.  Hold a formal statement to your customers.  Make your customers understand the statement of work you are actually offering and have an assurance that both of you gain mutual understanding about everything.  If there are confusions, make sure that it has been dealt right away.

2.  Create a draft project schedule.  Prior to the meeting with your customers, create a draft schedule of the project that is primarily dependent on the statement of work.  Present this to your customers during the discussion and allow them to fully understand it.

3.  Provide discussions regarding the process of change orders.  Change orders are essential during the time when the customers ask for things that are already outside of the agreed project scope.  If you encounter a very demanding customer, chances are you will have to go through few changes in orders within the duration of the engagement.  When you decide to do this, make sure that you properly explain this process to your customers so they will know that they are supposed to pay for the things that they want that are beyond the project scope.

4.  Produce documentations.  Create regular status reports so the project will be properly documented.   This ensures that every detail is being written so it will be fully understood by the different people concerned.  This also allows every project manager to keep track of the progress of the project.
