The Project Management Process
The project management process is key to ensure a project’s good start leads to a good finish. It also ensures the project stays on course. The project manager must stay aware of the progress of the project, especially as more people become involved and the tasks become more complicated. The project manager also has to retain control over the project from start to finish.
Project management is very important for every organization. The project management process can be defined as a combination of planning and controlling the execution of a certain project. The entire process is a combination of tasks to be fulfilled and actions taken to fulfill them.
The project management process is divided into four stages: initiating the project, planning the project, execution of the project, and evaluation of the project. Here we describe the steps that give framework to the workflow.
The initiation of the project is the first stage. At this stage, a problem or an opportunity is identified for which a project is to be undertaken. Various solutions for that problem or opportunity are also discussed. The managers can see the solution and its envisioned effects. A study is done on every solution offered, to see its feasibility and usability. This leads to the approval of a single solution of all the options.
When the solution is approved, a project is initiated to deliver the solution. Various terms of references are also completed. This leads to the outlining of the project's goals, its scopes and its overall structure. This stage also involves the appointment of a project manager. He/she has to recruit a project team, and establish a project office environment, at this stage.
Planning the project involves chalking-out a plan to see if the proposed project is of any real benefit. If the project provides any, then it is approved, and a more detailed planning begins. An agreement over the business benefits, objectives, requirements, governance and scope of the project, is also reached. The stage also involves deciding upon a project management methodology. The Project Manager has to prepare a detailed project schedule and task and budget allocations at this stage.
Execution of the project starts with asking the project stakeholders about the detailed requirements. At this stage, some possible solutions are also discussed, and the best is decided upon. The solution is then designed, built, and finally, implemented. At this stage, the project manager has to manage the budget and schedule of the project. He/she also has to report the progress of a project. He/she also has to communicate with the other stakeholders and respond any to project risks, issues, and any proposed changes.
Evaluation of the project helps find out whether the project succeeded. At this stage, the findings are also referred to, and they are considered for any future projects. Three major questions are answered: was the project completed on time inside the budget and under all guidelines, are the stakeholders satisfied, and were the expected benefits achieved. Project management software can be useful for precise costing.
Project management process is bound to be a success, if all the above stages are completed properly.
